This Payment Policy governs all payments for products purchased via our official website (www.arianasoz.com), flagship store, and authorized stockists. We strictly comply with the Payment Services Regulations 2017 (PSRs 2017), Financial Conduct Authority (FCA) guidelines—including the updated safeguarding regime effective 7th May 2026—and UK GDPR to ensure secure, transparent, and compliant payment processing for all customers. This Policy complements our Terms of Service, Privacy Policy, and Return Policy.
By making a payment to arianasoz, you ("you", "your") confirm that you have read, understood, and agreed to these terms. This Policy applies to both individual consumers and business customers, with tailored provisions for regulated payment methods and commercial transactions.

1. Accepted Payment Methods

We partner with FCA-authorized payment service providers (PSPs) to offer secure payment options, adhering to PCI DSS standards to protect cardholder data. We reserve the right to add, remove, or restrict payment methods with prior notice for material changes.

1.1 Online Payments

  • Debit & Credit Cards: Visa, Mastercard, and American Express. All card transactions are processed in British Pounds (GBP) and require Strong Customer Authentication (SCA) as mandated by FCA rules, involving two-factor verification (e.g., one-time passcode via SMS/app or biometric confirmation) to prevent fraud.
  • Digital Wallets: PayPal, Apple Pay, and Google Pay. These services enable secure checkout using stored payment details, with end-to-end encryption and fraud protection aligned with FCA requirements.
  • arianasoz Gift Cards: Digital and physical gift cards with a 24-month validity period from the date of purchase. Gift cards are non-refundable, non-exchangeable for cash, and can be applied at checkout for partial or full payment.
  • Regulated BNPL Services: Interest-free Buy Now Pay Later (BNPL) options via FCA-authorized lenders (Klarna, Clearpay) for orders over £30. Under new FCA rules, lenders conduct mandatory affordability checks before approval, and you will receive clear terms on late payment consequences. We are not liable for issues arising from BNPL agreements between you and the lender.

1.2 In-Store Payments

  • Debit & Credit Cards: All major cards listed in 1.1, plus contactless payments up to the UK statutory limit of £100 per transaction.
  • Cash: British Pounds (GBP) only. We do not accept foreign currency, cheques, or money orders.
  • Digital Wallets: Apple Pay, Google Pay, and Samsung Pay (contactless or chip-and-pin enabled).
  • Physical Gift Cards: Valid arianasoz gift cards with intact activation codes and unexpired validity.

2. Payment Obligations & Processing

Full payment is required to confirm your order, unless pre-approved credit terms are in place for business customers. We process payments through PSPs that comply with FCA safeguarding rules, ensuring customer funds are held separately from our operational funds to protect your money in the event of PSP failure.
  • Online Orders: Payment is captured immediately upon order submission. You will receive an acknowledgment email within 10 minutes, confirming payment receipt. If payment is declined (e.g., insufficient funds, SCA failure), your order will be marked "pending" and canceled automatically after 36 hours if the issue is unresolved.
  • In-Store Orders: Payment must be completed at checkout. A printed receipt will be provided, and a digital copy can be requested via email. We retain transaction records for 7 years to comply with tax and FCA audit requirements.
  • Pre-Orders: For pre-order products, payment is captured at the time of order to secure stock. If the pre-order lead time exceeds 45 days, you may request a full refund up to 10 days before the scheduled dispatch date, in line with consumer protection laws.
You warrant that you are the authorized user of the payment method, and all details provided are accurate. You agree to settle any outstanding amounts promptly if notified of a payment discrepancy.

3. Billing Information & Invoices

Accurate billing information is mandatory to comply with SCA, anti-fraud measures, and FCA record-keeping requirements. You must provide your full legal name, billing address (matching your payment method’s registered address), contact number, and valid email address.
Digital invoices for online orders are sent to your registered email within 24 hours of dispatch. In-store invoices are available on request, including product details, quantities, prices (inclusive of VAT), total payment, and our company/VAT registration numbers. For business customers, customized invoices (with purchase order numbers or tax breakdowns) can be arranged by contacting our finance team before order placement.

4. Payment Security & Safeguarding

We prioritize payment security and adhere to FCA’s 2026 safeguarding rules and PCI DSS standards to protect your funds and data:
  • Data Protection: We do not store full credit card details. All sensitive payment data is encrypted using 256-bit SSL/TLS technology and managed exclusively by our FCA-authorized PSPs, who conduct daily safeguarding checks to ensure funds are correctly segregated.
  • Fraud Prevention: We use AI-powered screening tools to monitor transactions for suspicious activity (e.g., mismatched billing/shipping addresses, unusual purchase patterns). If a transaction is flagged, we may suspend the order and contact you to verify your identity before proceeding. We reserve the right to cancel fraudulent orders with written notification.
  • Safeguarding Compliance: Our PSPs conduct monthly safeguarding reports and annual audits (exempt if holding less than £100,000 in customer funds) as required by FCA rules, ensuring your funds are protected if the PSP becomes insolvent.

5. Failed Payments & Remedies

Payment failures may result from insufficient funds, expired cards, SCA issues, or bank restrictions. We will notify you via email (and SMS, if provided) within 1 hour of failure, with guidance to resolve the issue.
You may update payment details in your online account (for online orders) or provide an alternative method within 48 hours. No fees are charged for initial failures, but a £4.00 administration fee applies to 3 or more consecutive failed attempts that incur PSP charges. If failure stems from a technical error on our end, we will waive the fee and offer a £5 discount code for your next order.

6. Refunds & Disputed Payments

Refunds for eligible returns, canceled orders, or incorrect charges are processed in line with our Return Policy, with the following payment-specific terms:
  • Refund Processing: Refunds are initiated within 5 working days of confirming eligibility, credited to the original payment method. PSP processing times vary (2-5 working days for cards, 1-3 for digital wallets).
  • Refund Amount: Full product price (including VAT) is refunded. Original shipping costs are non-refundable unless the return is due to our error or you exercise statutory cancellation rights.
  • Disputed Payments: Contact our customer service first before initiating a chargeback. We investigate disputes within 7 working days. Unjustified chargebacks may result in account suspension, and we reserve the right to defend claims with the PSP and FCA.

7. Business Customer Terms

Approved business customers (subject to credit checks and signed agreement) receive the following terms:
  • Net-45 payment terms from the invoice date, unless otherwise agreed in writing.
  • Late payments incur interest at 8% above the Bank of England base rate, complying with the Late Payment of Commercial Debts (Interest) Act 1998.
  • Credit limits are set based on creditworthiness, and we reserve the right to suspend credit for late payments or breach of terms.

8. Changes to This Policy

We may update this Policy to reflect FCA rule changes, PSP updates, or business operations. Revisions are published on our website with a new Effective Date. For material changes (e.g., fee adjustments, payment method updates), registered users are notified via email 14 days in advance.
Continued use of our services after the revised date constitutes acceptance of updated terms. If you disagree, cease using our services and resolve outstanding payments promptly.
